Tip
On the right bottom corner of OurSys there is a Microphone icon. If you click on it, the feature of MasterBot opens.
MasterBot has many ready-made shortcuts to analytical dashboards. For example you can click on 'Sales Representative wise Sales Summary' to quickly open a pie-chart showing sales representative wise sales.
There are many more functions like finding stock of an item, supplier analysis, customer analysis etc.
Did you know?
You can set parameters and their weightage for Supplier Performance Evaluation.
Go to masters, under 'Purchase' section and 'Commercial' sub-section, click on 'Supplier Performance Parameter Configuration' to set Supplier performance parameters.
Similarly you can set it for Outsourcing suppliers as well.

You can filter the report by region, industry type, Customer Group and no. of days since last order. |

This report is useful to list out customers who are not buying as they used to buy earlier.
This report can be filtered in various ways as shown below.
Information in the report & how to use it:

This report is useful to find out the names of customers whose last order is more than certain days. The default value is set to 90 days but you can change it.

The report shows a list of names of customers along with their last order date and time elapsed since then.

It also shows the region and name of the sales representative looking after the customer.
Notification
- OurSys upgraded version 24.35 has been released on 10th September 2024
- You can access all our previous newsletters and articles from OurSys itself. Click on your 'i' icon next to the user icon.
- OurSys now has an Employee Desk where employees can apply for leaves and check their salary slips. These employees are not counted in the user licences.
- The Ziddle software is making good progress and it is being tested on Momenta's database of OurSys this month. We hope to try it with some manufacturing companies soon.

Now OurSys has provided a master where users can set their own currency format and mention their choice for individual dashboards, the result will be displayed accordingly.
Option to mandate user defined attribute fields
You can now make certain attribute fields mandatory for data entry.
Setting 'Customer wise business target' becomes easier
Earlier the users had to go to individual customers and define the targets. We have now provided a separate master for the purpose.
Raising Purchase Orders from Requisitions made faster.
Users can now select multiple items on requisition to create Purchase Order quickly.

Case Study
Receiving goods in multiple unit of measurement
Customer Introduction:
This customer is a manufacturer of industrial valves and buys castings.
Problem / Goal:
The unit weight of castings varies from unit to unit. OurSys has a standard unit of measurement conversion. But in this case there is no standard as it varies within a tolerance. The purchase orders are placed in kg and a certain units are expected.
It is therefore required to capture quantity in both kg and numbers.
The Solution:
In addition to the usual auto unit of measurement conversion, we have a feature to capture received quantity in 2 units of measurement. Thus the bill is passed based on kg and stock increases in numbers.
The Result / Benefits:
This will take care of the scenario where the units of measurement are not constant.
